If you work in forwarding or logistics, you’ve probably heard the same phrases from every visibility vendor:
- “Real-time tracking for every container.”
- “AI-powered ETAs with 95% accuracy.”
- “A single source of truth for your supply chain.”
On slides, they all look the same. In reality, what matters is simpler and harsher:
Does the platform give your team the right information, at the right time, often enough that you can actually run your operation on it?
This post is for LSPs, NVOCCs, 3PLs, and shippers who are past the first-demo stage. You’ve seen the maps and dashboards. Now you need to know how to evaluate these platforms beyond marketing language—including TRADLINX—before you commit.
We’ll focus on:
- The data questions that matter more than feature lists
- How to think about “accuracy” and AI without getting lost in buzzwords
- What a meaningful trial looks like
- A practical checklist of red flags and green lights
1. Why Visibility Is Harder to Evaluate Than It Looks
Visibility tools are deceptive in one way: a good UI can hide weak data.
Most vendors can show you:
- A map with moving vessels
- A shipment list with green/red status
- A timeline with a few milestones
The hard parts are:
- Coverage: How many of your shipments get complete, correct events?
- Latency: How long after a real-world event does the system reflect it?
- Consistency: Does it still perform when things go wrong—rolls, diversions, strikes?
Those three things don’t show up in a 30-minute demo. You have to ask for them and test them.
2. Start with Data Foundations, Not Features
Before you talk about dashboards or AI, ask a vendor one basic question:
“Where does your data actually come from, and how do you combine it?”
2.1 Sources matter
At a minimum, you should understand:
- Which carriers they’re integrated with (and whether that’s via EDI, API, or both)
- Whether they use terminal / port data and in which regions
- How they use AIS / satellite data (for vessel positions, not full shipment logic)
- Where manual input still happens (and by whom)
Two platforms can both say “real-time tracking.” One may rely on daily EDI dumps; another is pulling frequent carrier updates, terminal events, and AIS. The difference won’t show in a marketing bullet, but it will show in operations.
2.2 How they reconcile conflicting events
Ships and ports don’t always agree on what happened.
- Carrier says: “Arrived.”
- Port says: “Still at anchorage.”
- AIS shows: “Slow steaming outside the breakwater.”
You want to know:
- How they decide which event to trust
- Whether that logic is documented and repeatable
- How discrepancies are logged (and whether you can see that history if needed)
A platform that can explain this clearly usually has a more mature data foundation than one that only talks about front-end features.
2.3 What “real-time” actually means
“Real-time” is a marketing word. In practice, ask for:
- Typical refresh intervals by source (e.g., carrier, port, AIS)
- How often they recalculate ETAs
- Average delay between real-world events (e.g., discharge) and when those events appear in the platform
You’re not looking for perfection. You’re looking for a vendor that treats time-lag as a measurable, managed variable—not as an afterthought.
3. Look at Consistency Over Months, Not Minutes
A visibility tool that looks great for a week but drifts or breaks under pressure is worse than one that is slightly less flashy but reliable.
3.1 Ask for 12 months of performance, not last month’s
When a vendor shares metrics like “we are X% accurate” or “we cover Y% of events,” focus on:
- Time window: Is this over 1–3 months of cherry-picked lanes, or 12+ months across the base?
- Definition: Accurate in what sense? ETA within one day? Three days? Event present vs missing?
- Scope: Is this all shipments, or just a subset?
You’re not criticising the use of metrics—that’s necessary. You’re checking that the numbers are well-defined and backed by history, not just rounded-up highlights.
3.2 Ask specifically about “hard shipments”
A mature platform should be able to tell you how it performs on:
- Transshipments with multiple handovers
- Rolled or re-routed containers
- Blank sailings and omitted ports
- Carriers with weaker data feeds
Ask for anonymised real examples where:
- A vessel was delayed or diverted
- A container changed vessel or service mid-journey
- Port operations were disrupted
Then ask: “What did your platform show at each step, and how did customers use that information?”
3.3 Ask to see when things went wrong
Any honest vendor has stories where:
- A source feed broke
- A logic rule produced bad outcomes
- An ETA model underperformed during a disruption
You’re not trying to embarrass anyone. You’re checking whether the vendor:
- Monitors its own performance
- Learns and adjusts logic
- Communicates issues transparently
If a platform can’t talk about failure cases, it’s either new, not measured, or not candid. None of those are ideal.
4. Cutting Through AI Claims Without Being Anti-AI
AI is everywhere in visibility marketing. The question isn’t “do you use AI?” It’s:
“Can you show that your AI actually improves decisions compared to a simple baseline?”
4.1 Ask what, exactly, the AI is doing
Useful answers might include:
- Predicting ETAs beyond carrier estimates
- Flagging shipments at risk of missing a delivery window
- Detecting anomalies in event sequences
Vague answers like “we make things smarter” are not helpful. You want specific, concrete functions.
4.2 Ask “better than what?”
Any claim like “we improved ETA accuracy” should include:
- The baseline (carrier ETA, historical average, fixed buffer, etc.)
- The measurement (error in days/hours, percentage within a given window)
- The sample (which lanes, which time period)
You’re not attacking the idea of AI. You’re just making sure the claims are anchored to a testable comparison.
4.3 Ask where it doesn’t work well
Good models have limits. A credible vendor can tell you, for example:
- “We’re less reliable on new ports or rarely used lanes.”
- “We struggle when there are sudden, unmodeled disruptions—like a strike that starts today.”
- “In those cases, we fall back to carrier ETAs plus conservative buffers.”
That kind of answer is far more trustworthy than “it’s always accurate.”
5. Check Operational Fit: What Happens at 09:00 on Monday?
It’s easy to forget this in vendor selection:
Your team doesn’t work in slide decks. They work in queues, spreadsheets, emails, and TMS screens.
A visibility platform is only valuable if it improves their real 09:00 workload.
5.1 Does it help you manage exceptions, not just monitor everything?
Look for:
- Priority queues (e.g., shipments at risk of D&D, missed connections, late deliveries)
- Configurable rules by customer, lane, or product
- The ability to snooze, assign, and close exceptions (not just flag them red)
“Everything on one map” is nice; a list of 10 containers you must act on today is better.
5.2 Can it live inside your existing tools?
Ask:
- Do you provide APIs or webhooks so we can push events into our TMS, ERP, or customer portal?
- Do you offer embeddable widgets or components that let us keep our existing screens?
- How hard is it to integrate with our current stack?
Visibility works best when it becomes part of your normal workflow, not an extra tab your team rarely opens.
5.3 Can you safely share it with customers?
You will eventually want customers to see:
- Status
- ETAs
- Some performance metrics
That’s how you turn visibility into a service you can monetise or at least differentiate with.
6. Vendor Maturity: More Than Just “We’ve Been Around X Years”
Longevity matters—but mostly in how much experience a vendor has with your type of flows.
6.1 Product age vs company age
Ask:
- How long has this specific product been in production?
- How many major redesigns has it gone through?
- What changed with each redesign?
A 30-year-old company with a 1-year-old visibility product is different from a 10-year-old platform that has iterated on the same core problem for a decade.
6.2 Do they work with customers like you?
Check for:
- LSP / NVOCC / 3PL references, not only BCOs
- Similar trade lanes (e.g., Asia–US, Intra-Asia, Asia–Europe)
- Similar scale (tens of thousands vs millions of containers per year)
You want to know that their platform has already had to solve your level of complexity, not just simpler use cases.

- How long typical integrations take for customers of your size
- What happens when you add new systems later
A cheaper license with heavy integration overhead can be more expensive over three years than a higher license with lighter integration.
7.2 Internal process cost
Ask the hard question internally:
- How many teams must change their workflows to actually use this tool?
- What training will they need?
- How will you measure whether it’s being adopted?
Without process changes, even the best visibility platform becomes a mirror of the old process, just with nicer colours.
7.3 Hidden or variable costs
Check:
- Charges for additional users or external customers
- API usage quotas and overage fees
- Fees for historical data exports or custom reports
You want to avoid surprises when adoption grows.
8. How to Run a Trial That Actually Tells You Something
Most POCs are designed to make the vendor look good. You need one that tells you the truth.
8.1 Use your own historical shipments
Take a representative sample:
- 200–500 containers from the last 6–12 months
- Mix of:
- Smooth shipments
- Transshipments
- Rollings, diversions, long dwell
Have the vendor reconstruct those journeys in their platform and compare:
- Event coverage vs what actually happened
- ETA trajectories vs actual arrival/delivery
8.2 Define evaluation metrics up front
For the trial, agree on:
- % of shipments with all key milestones (gate-in, loaded, departed, arrived, discharged, gate-out)
- Median delay between real-world events and visibility events
- ETA error bands (e.g., % of shipments arriving within 1 day / 2 days of predicted date)
- Number of exceptions your team actually caught and managed earlier thanks to the platform
You don’t need perfection. You need transparency and improvement potential.
8.3 Run it alongside your current process for a limited time
For 4–8 weeks:
- Keep using your current spreadsheets / portals / tools
- Have a small ops group also use the new platform
- Track how often:
- The new platform spotted an issue earlier
- It reduced time spent chasing status
- It prevented D&D or late deliveries
Then let the operations team, not just management, weigh in on whether it made their lives better.
9. Red Flags and Green Lights
To keep it practical, here’s a quick summary.
Red flags
- Metrics without definitions, baselines, or time windows
- No lane-level performance for your actual trades
- Demos that stay on UI and avoid data questions
- No examples of difficult shipments or failure cases
- Heavy AI marketing, light on concrete explanations or tests
Green lights
- Clear, honest answers about data sources and reconciliation
- Willingness to show long-term, lane-level performance (good and bad)
- Mature exception management and integration options
- Reference customers similar to you—in type, scale, and lanes
- Openness to a structured trial with agreed metrics
10. The Real Question: Can You Run Your Business on It?
In the end, visibility isn’t about maps, colours, or AI labels.
It’s about whether you can:
- Base customer promises on what you see
- Reduce status-chasing and surprise costs
- Trust the data enough that your teams use it every day
When you evaluate vendors—including TRADLINX—use that as your filter:
“Is this something we’d actually rely on when a vessel is late, a port is congested, or a customer is calling at 9 p.m. asking what to do?”
If the answer is yes, it’s more than a dashboard. It’s infrastructure.
